Freshness considerations

Tie the record to the policy version and population relevant to the request. Updates may require a new acknowledgement depending on the organization’s process.

Stronger evidence and weaker substitutes

Comprehension checks and related operating evidence strengthen a broader claim. Email delivery alone is weaker.

Common rejection or follow-up reasons

Unclear version, incomplete population, no timestamp or counts that do not reconcile.

Redaction and confidentiality

Prefer population summaries with a controlled sample where appropriate; avoid unnecessary employee data.
